It's not just about making operations more efficient, but also about significantly growing my customer base. Now, I’m here to share my journey and the insights I’ve garnered along the way with you.

One of my favorite applications of AI is email management. I use Zapier in conjunction with ChatGPT to draft some of my emails. The process is pretty straightforward:

  • Zapier triggers an action based on specified conditions, such as receiving a new client inquiry.
  • ChatGPT then drafts a response which is saved as a draft in my email account.
  • I review the draft, make any necessary tweaks, and hit send.

This setup has drastically reduced the time I spend on emails, allowing me to focus on more important tasks.

2. Content Creation

Being a notary, I write a lot, and AI has become an indispensable assistant in this regard. I use a mix of tools that have significantly sped up my writing process. Also, having a basic understanding of SEO has been crucial. You don’t need to be an expert, but knowing the basics can greatly improve your online visibility. Here’s a simplified version of my writing process:

  • First I learn about the specific topic. For example, I studied Ohio Code Chapter 147 to learn about the ID requirements.
  • Then I search for the keyword, using Ubbersuggest.
  • I tell ChatGPT to draft an outline of the topic.
  • I make some changes.
  • I write, not the AI, a draft of the content.
  • I tell ChatGPT to make it better.
  • Review and optimize the content for SEO.
  • Publish and promote.

3. Customer Service Automation

Using ChatBots to improve AI for notaries.

In the notary profession, customer service isn't just a requirement—it's the cornerstone of establishing trust and facilitating seamless transactions. Imagine being able to provide round-the-clock availability for your clients, instantly address their inquiries, and even close sales effortlessly. This isn't a futuristic dream, it's my current reality, thanks to the power of chatbots!

I employ two stellar chatbots on my website: Tawk.to and NotaryBot.

Tawk.to is my ever-vigilant receptionist, always ready to greet visitors and answer general inquiries, ensuring no one ever feels ignored. On the other hand, NotaryBot is my savvy sales associate.

Though it required a bit of training initially, the payoff has been immense. NotaryBot handles more specific queries related to notary services and has even successfully converted inquiries into sales, making a noticeable difference to my bottom line.

Setting them up was surprisingly straightforward. With just a few clicks, they were up and running, ready to engage with my clients. The ease of integration and the immediate impact on customer engagement was nothing short of a revelation. They handle many customer interactions, which allows me to focus on complex tasks that need a personal touch.

The beauty of these chatbots is their ability to learn and improve over time, becoming more adept at handling a wide array of customer inquiries. They are not just tools; they are tireless members of my team, each interaction refining their ability to assist and sell.

Of course, the downside of these part of AI for notaries is that, sometimes, especially at the beginning, they will answer something inaccurate. Or even worst, they will suggest "to find a notary public". Nooo! YOU SUGGEST ME!

The AI Bot for Notaries training is very important. After that it you will be needed less and less.

AI email automation.

Email remains a potent tool for nurturing relationships with clients and leads. One game-changing strategy I've implemented is email automation, tailored to interact with each recipient in a personalized manner.

Here's how I do it:

I maintain a comprehensive list where every lead and customer is recorded. The magic starts by dividing this list into different groups based on criteria like the services they asked about, their response to previous emails (such as clicks), and other behaviors.

Now, instead of sending generic emails to everyone, my system sends out personalized emails based on these segments. For instance, a client who inquired about estate notarization might receive updates and information related to that service. Moreover, if they click on a link in one of the emails, the system takes note and further refines the content they receive in future correspondences.

This level of personalization has not only increased engagement but also made my communications more relevant and valuable to the recipients. It's like having an intelligent assistant who knows just what to say to each client, nurturing those relationships on my behalf while I focus on delivering exceptional notary services.

Email automation is a testament to how AI and smart strategies can significantly enhance the way we connect with and serve our clients. It's an investment in cultivating lasting relationships and ensuring every interaction adds value, driving a better customer experience and ultimately, more business.

I am guilty of having "worked" on in a network marketing. One think I learned was follow up, follow up, follow up. The benefits of AI for notaries in this particular topic is great. Now that follow up is much easier.

4. Marketing Automation

I have fully embraced AI for my marketing needs. I use ChatGPT along with the CANVA plugin to create all my social media posts. The process is simple:

  • Brainstorm post ideas.
  • Use ChatGPT to draft the content.
  • Use CANVA plugin to design the visuals.
  • Schedule posts using a scheduling tool.

Additionally, I use MailerLite to manage my email lists and campaigns, helping me stay in touch with my clients and prospects effortlessly.

5. Appointment Scheduling

6. Document Review and Automation

I am currently exploring OCR (Optical Character Recognition) technology to automate the verification of signatures on documents. The goal is to have a system that can flag any documents missing a signature, ensuring nothing falls through the cracks.
